When you contact us via Instagram, Facebook or email, we may collect:

• any details needed to respond to your enquiry.

When you book a session, class or course through our online booking system, Setmore, we may collect information needed to make and manage your booking, such as:

• your name;
• your email address;
• your telephone number;
• details of the session, class or course you have booked;
• any other information you choose to provide as part of the booking process.

When you make a payment, payment processing is provided securely by Square. We do not store your full payment card details ourselves. Payment information is processed by Square in accordance with its own privacy practices.

Health and participant information

Before attending certain Shared Beginnings sessions or courses, you may be asked to complete a health and information form.

This may include:

• your name and contact details;
• your home address and postcode;
• emergency contact information;
• your baby’s name and date of birth;
• information about your baby’s birth and whether they were born prematurely;
• relevant health information, such as medical conditions, allergies or skin sensitivities, reflux, hip conditions, previous operations or hospital admissions;
• information relating to routine vaccinations;
• GP practice and health visitor information where provided;
• any other health or safety information you choose to provide.

We collect this information only where it is relevant to helping us provide sessions safely and appropriately.

Health information is treated as special category personal data and receives additional protection under data protection law.

3) How we use your information

We use your information to:

• respond to messages and enquiries;
• communicate with you about the information or services you request;
• create, manage and administer your bookings;
• send booking confirmations, reminders and information relating to your session, class or course;
• process and keep appropriate records of payments and transactions;
• manage cancellations, rescheduling or refunds where applicable;
• help us provide sessions safely and appropriately for you and/or your baby;
• identify relevant health or safety considerations before and during sessions;
• contact an emergency contact where genuinely necessary;

We will not use health information for marketing purposes.

We will not use the contact information you provide when making a booking to send you unrelated marketing unless you have separately agreed to receive it.

• it is necessary to take steps at your request or to provide the service you have booked;

5) Booking, payment and form providers

We use third-party services to help us manage bookings, payments and participant information.

Setmore

Setmore provides our online booking system. When you make a booking, information needed to create and manage that booking is processed through Setmore.

This may include your name, contact details and information about the service you have booked.

Setmore may also be used to send booking confirmations, reminders and other communications relating to your booking.

Square

Square provides our payment-processing services.

When you make a payment, information necessary to process and manage that transaction is processed by Square. We do not receive or store your full payment card number.

Google Forms

We use Google Forms to collect health and participant information before certain sessions or courses.

Information submitted through these forms is processed using Google’s services and is accessible only as necessary for the operation of Shared Beginnings.

The information collected may include personal information about you and your baby, including health information where relevant to the safe delivery of a session.

Google processes information in accordance with its own privacy and data-protection practices.

6) Social media platforms

If you contact us through Instagram or Facebook, those platforms will also process your information under their own privacy policies.

We only receive information you provide directly to us and information made available to us through those platforms.

7) Sharing your information

We do not sell your personal information and we do not share it with third parties for their own marketing purposes.

We may share personal information where necessary:

• with service providers that help us operate Shared Beginnings, including Setmore, Square and Google;
• to comply with a legal or regulatory obligation;
• where there is a safeguarding concern and sharing information is necessary to protect you or someone else;
• in an emergency where sharing relevant information is necessary to protect someone’s vital interests;
• where necessary to establish, exercise or defend legal claims.

Health information will not routinely be shared with healthcare professionals or other organisations without your knowledge unless there is a lawful and necessary reason to do so, such as an emergency or safeguarding concern.

We only share information that is reasonably necessary for the relevant purpose.

8) Photography and media

During some sessions, photographs or other media may be taken for use by Shared Beginnings on social media, our website or promotional materials.

We will only use identifiable photographs of you or your child for these purposes where appropriate consent has been provided.

You are free to decline photography or media use without this affecting your ability to attend our sessions.

Where you have given consent, you can withdraw it at any time by contacting us. Withdrawal of consent will apply to future use where reasonably possible, although we may not always be able to remove material that has already been printed, distributed or shared by others.

9) How long we keep your information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

• respond to enquiries and manage communications;
